Free Guide to Returning Rental Cars at Nashville Airport

Overview of Nashville Airport Car Rental Return Procedures

Nashville International Airport (BNA) handles thousands of rental car returns each week from visitors and business travelers. Understanding how to return a rental vehicle at this airport involves knowing where the rental facilities are located, what the general timeline looks like, and what documentation you'll need. The airport's rental car facilities are located in a consolidated facility accessible from the terminal building, making the process straightforward when you understand the layout and steps involved.

The rental car return process at Nashville Airport typically takes between 10 and 20 minutes from the time you enter the return facility until you complete the transaction and leave the area. This timeframe can vary based on several factors, including how busy the facility is, whether there are any damage disputes, and how thorough the agent needs to be with the vehicle inspection. Peak travel times—such as early morning hours between 5 and 8 a.m., and late afternoon between 4 and 6 p.m.—tend to have longer wait times.

All major rental car companies operate at Nashville Airport, including Enterprise, Hertz, Budget, Avis, National, and Alamo. Each company has its own designated return area within the consolidated facility. When you arrive at the airport to return your vehicle, you'll follow signs directing you to the rental car return area. The facility is designed so that you can return your car without leaving your vehicle—an agent will meet you, inspect the car, process your paperwork, and direct you to parking or to the airport shuttle.

Practical Takeaway: Arrive at the airport with enough time to return your rental car at least one hour before a domestic flight or two hours before an international flight. This buffer accounts for potential wait times and ensures you won't feel rushed during the return process.

Locating the Rental Car Return Facility at BNA

Nashville International Airport's rental car facilities are consolidated in a single building located just outside the main terminal. To reach the rental car return area, follow the signs marked "Rental Car Return" or "Rental Cars" when you exit the baggage claim area or if you're driving to the airport. The facility is accessible via the lower level roadways that loop around the terminal building. GPS and mapping applications like Google Maps can provide turn-by-turn directions to the rental car return entrance, which is a helpful resource if you're unfamiliar with the airport layout.

The consolidated rental car facility at BNA opened in 2023 as part of airport modernization efforts. This facility consolidates what were previously multiple separate rental car locations scattered around the airport. The consolidation means that regardless of which rental company you're using, you'll return your vehicle to the same general area. The building is clearly marked with large signage visible from the roadway, making it difficult to miss even if you're unfamiliar with the airport.

When approaching the facility by car, you'll drive into a covered return area. An agent will typically wave you into a specific lane. If no agent is immediately visible, follow the painted lane markings and proceed slowly. The facility has multiple return lanes to handle several vehicles simultaneously, which helps reduce wait times during busy periods. Some rental companies have designated lanes, while others share space depending on traffic volume.

If you're arriving at the airport via a rideshare service, taxi, or airport shuttle and need to return a rental car, you'll need to arrange your own transportation to the rental car facility. However, some rental companies offer courtesy shuttles between off-airport locations and the main facility. Contact your rental company ahead of time if you need transportation assistance to the return facility.

Practical Takeaway: Before your trip, take a screenshot of the rental car return facility location from Google Maps. Having this saved on your phone eliminates confusion about where to drive when you arrive at the airport, especially if you've never visited Nashville before.

Required Documents and Information for Vehicle Return

To complete a rental car return at Nashville Airport, you'll need to have several documents and pieces of information readily available. The most important document is your rental agreement, which contains your confirmation number, rental dates, vehicle description, and pricing information. This document was provided when you initially rented the car, typically as a printed receipt or email confirmation. Having this document accessible—whether printed or displayed on your phone—speeds up the return process significantly.

You'll also need to provide a valid driver's license matching the name on the rental agreement. The agent will verify that the person returning the vehicle matches the agreement holder. If someone other than the person who rented the car is returning it, that person should still have a valid driver's license available, though rental agreements typically require the renter to return the vehicle themselves.

Your payment method used for the rental should be available as well. Most rental returns process any final charges or refunds to the original payment method on file. If you've incurred additional charges—such as extra mileage, fuel, or damage—these will be applied to your credit card or debit card. For this reason, you may want to keep that payment card accessible in case there are any questions about charges.

The keys to the vehicle are obviously essential. Misplacing keys after you return the car can result in additional fees, so double-check that you have the keys in hand before you exit the rental area. Some modern rental vehicles use key fobs or smart key systems, and these must be returned as well. If you have multiple keys, return all of them.

Information about any fuel you purchased, if you selected a pre-purchase fuel option, should be noted. Similarly, if you used your own fuel and purchased gas as part of your rental, you may have receipts showing this. While not strictly required for return, having this documentation can be helpful if there are questions about fuel charges on your final bill.

Practical Takeaway: Create a checklist the night before your return: rental agreement, valid driver's license, vehicle keys, and payment card. Review this checklist 30 minutes before heading to the airport to ensure you have everything needed.

Step-by-Step Vehicle Inspection and Return Process

When you drive into a rental car return lane at Nashville Airport, an agent will approach your vehicle. Hand over your rental agreement and keys. The agent will typically ask you to keep the vehicle in park with the engine off while they begin the inspection process. This inspection involves checking the vehicle's exterior and interior for any damage that may have occurred during your rental period. The agent will look for dents, scratches, broken lights, interior stains, rips in upholstery, and other wear and tear beyond normal use.

During the inspection, the agent will also verify the mileage on the vehicle's odometer against the mileage limits outlined in your rental agreement. Most rental agreements include unlimited mileage or a specific mileage allowance. If you've exceeded your allowance, additional mileage charges will be applied to your bill. The agent will record the final mileage and compare it to the beginning mileage from your rental agreement.

The agent will check the vehicle's fuel level next. If you selected a "full-to-full" fuel option when renting, you should return the vehicle with a full tank of gas. If the tank isn't full, you'll be charged for fuel at the rental company's rates, which are typically higher than gas station prices. If you selected a "pre-purchase" fuel option, you keep whatever fuel remains in the tank. The agent will note the fuel level in the system.

Once the inspection is complete, the agent will take your vehicle to a parking area or direct you to exit the return facility. You won't need to stay with the car after this point. The agent will process your paperwork, finalize any charges or refunds, and send you a receipt via email or printed format. Most rental companies will email your final receipt within 24 hours, though some provide printed receipts at the time of return.

If the agent identifies damage during the inspection that you believe was pre-existing, mention this immediately. Take photos of the damage if possible before leaving the facility. Ask the agent to note your dispute on the paperwork. This creates documentation of your concern and can help if you need to dispute charges later.

Practical Takeaway: Before arriving at the return facility, do a quick walk-around of the vehicle yourself. Note any existing damage, take photos from multiple angles, and compare them to photos you took when you first rented the car. This personal documentation protects you against being charged for damage you didn't cause.
