Learn How to Create a Shipping Label at UPS

Understanding UPS Shipping Labels: What They Are and Why You Need One

A shipping label is a document that contains all the information needed to send a package from one location to another. It serves as the address tag, tracking identifier, and receipt for your shipment. When you create a shipping label through UPS, you're generating an official document that the carrier uses to route your package to its destination and allow you to monitor its progress.

UPS shipping labels include several key pieces of information. The label displays the sender's address (your information), the recipient's full address with ZIP code, a barcode that UPS scans at various points during transit, the package weight and dimensions, the service type you selected (such as Ground, 2nd Day Air, or Next Day Air), any special handling instructions, and a tracking number unique to that shipment. This tracking number allows both you and the recipient to see where the package is at any moment during delivery.

Creating your own shipping label through UPS offers multiple advantages over going to a UPS location and having a representative create one for you. You can generate labels at your own pace from home or your office, at any time of day or night. Labels created online typically cost less than counter service at a UPS store or UPS Customer Center. You maintain a digital record of all your shipments, which is useful for business records and if you need to reference details later. Additionally, you avoid waiting in line during busy hours.

Businesses of all sizes use online shipping labels regularly. A small online retailer selling handmade crafts might create 10 to 15 labels per week. A mid-size e-commerce company could generate hundreds of labels daily. Even individuals sending occasional packages find that creating labels online is more convenient than traditional methods. The process works the same whether you're shipping a book to a friend across the country or sending inventory to a business partner.

Practical Takeaway: Understanding that a shipping label is a complete address and tracking document created online helps you see why this process is valuable for anyone shipping packages regularly or occasionally.

Setting Up Your UPS Account and Gathering Required Information

Before you can create a shipping label, you need a UPS account. This is a free account that allows you to access UPS online services. To create one, visit ups.com and look for the login or registration option. You'll need to provide an email address, create a password, and enter your name and address. UPS uses this information as your default sender address for future labels. The entire registration process typically takes fewer than five minutes. After you submit your information, UPS may send you a confirmation email to verify your address.

Having your account set up is important because it stores your address information, billing preferences, and shipment history. Your account also allows UPS to associate tracking numbers with your shipments, making it easier to reference them later. If you're shipping for a business, you might use your business address. If you're shipping personal items, your residential address works perfectly fine. You can update or change this information at any time through your account settings.

Once your account is active, gather the information you'll need before creating each label. You must have the recipient's complete mailing address, including their street address, city, state, and ZIP code. Accuracy is critical here—an incorrect address will cause delivery delays or send the package to the wrong location. You also need to know the package weight in pounds and ounces. A standard kitchen or bathroom scale works fine for this. If your package is larger than a standard box, you may need the dimensions (length, width, and height in inches), though UPS primarily charges based on weight for most services.

You'll also need to decide on a service level before creating the label. UPS Ground is the most economical option and typically delivers within 1 to 5 business days depending on distance. 2nd Day Air takes 2 business days and costs more. Next Day Air is the fastest service and is the most expensive. UPS also offers specialized services for packages requiring signature confirmation, handling of fragile items, or insurance coverage. Knowing which service you want before creating the label makes the process faster and smoother.

Practical Takeaway: Prepare your account and gather your recipient's address, package weight, and chosen service level before starting the label creation process to avoid errors and delays.

Navigating the UPS Website and Accessing the Shipping Label Tool

After logging into your UPS account on ups.com, locate the shipping tools section. UPS organizes its website with the main navigation menu at the top. Look for options like "Ship" or "Shipping" in the menu bar. Most users find the shipping label creation tool under a section labeled "Create a Shipment" or "Ship a Package." UPS regularly updates its website layout, so if you can't find the exact link, using the search function on the site for "create shipping label" will direct you to the correct page quickly.

The shipping label tool has multiple sections that guide you through entering information step by step. The first section is typically where you confirm or enter the sender's information—this is usually pre-filled with the address on your account. Below that is the recipient information section where you enter the delivery address. Many users appreciate that you can save frequently used recipient addresses in your account, so if you ship to the same person or business regularly, you won't need to enter their address each time.

The UPS website also offers several ways to create labels depending on your needs. The standard web form method is what most individual shippers use. If you send high volumes of packages, UPS offers integration with e-commerce platforms like eBay, Amazon, and Shopify, which can automatically pull order information and populate shipping labels. Some users prefer the UPS mobile app, available for both iOS and Android devices, which allows you to create labels from a smartphone or tablet. The process is identical across all methods—the information you enter remains the same.

While navigating the website, you may notice options for different shipping types. These include domestic shipments (within the United States), international shipments, and special services. For your first label, you'll likely use domestic ground shipping. The tool clearly indicates which step you're on and provides progress indicators so you always know how many more sections remain. Most users complete a basic shipping label in 3 to 5 minutes after their first attempt, and subsequent labels take even less time as you become familiar with the process.

Practical Takeaway: Finding the shipping tool on UPS.com is straightforward—use the main navigation or search for "create shipping label," and you'll reach the label generation form within seconds.

Entering Sender and Recipient Information Accurately

The sender information section displays your account address by default. Most of the time, this is correct and requires no changes. However, if you're using your account to ship for someone else or from a different location, you can modify this information. It's important to provide a complete and accurate sender address because if there's a delivery problem, UPS uses this address to return the package. Include your street address, apartment or suite number if applicable, city, state, and ZIP code. If you have a phone number on file, ensure it's current so the UPS driver or recipient can contact you if needed.

The recipient information section is where accuracy becomes absolutely critical. Mistyped addresses are one of the primary reasons packages don't reach their destinations on time. When entering the recipient's address, type carefully and verify each component. The recipient's full name matters less than the street address and ZIP code—a package addressed to John Smith or J. Smith at the same address will still deliver correctly, but 123 Main Street versus 123 Maine Street will not. Always double-check ZIP codes because they're a key part of the sorting process. If you're unsure about the correct ZIP code, the USPS website offers a free ZIP code lookup tool.

UPS provides an address verification feature during the label creation process. After you enter an address, the system may suggest corrections or clarifications. For example, if you type "St" instead of "Street," or if you enter an address that's slightly different from the official postal address on file, UPS suggests the correction. These suggestions are based on USPS postal databases and are designed to prevent misdelivery. You can accept the suggested address or override it with your original entry, but accepting suggestions typically results in faster, more reliable delivery.

Consider creating a contacts list or maintaining a spreadsheet of addresses you ship to regularly. When you use an address from your saved contacts or recent shipments in UPS, the system remembers it and makes it available for future labels. This saves time and reduces the chance of typing errors.
