Learn How to Update Microsoft Office on Your Computer

Understanding Microsoft Office Update Methods and Types

Microsoft Office receives updates regularly throughout each year. These updates come in different forms, and understanding the distinctions between them helps you maintain your software properly. Updates can be security patches, feature additions, or performance improvements. Security patches are released to fix vulnerabilities that could affect your computer's safety. Feature updates add new capabilities to programs like Word, Excel, or Outlook. Performance updates make the software run more smoothly or fix bugs that cause problems.

Microsoft typically releases updates on the second Tuesday of each month, known as "Patch Tuesday." However, critical security updates may be released outside this schedule if a serious vulnerability is discovered. The company maintains different update tracks for Office. Current Channel releases new features roughly every week, Semi-Annual Enterprise Channel releases features twice yearly, and Monthly Enterprise Channel releases updates monthly. Most home users work with Current Channel, which means they receive frequent updates automatically.

As of 2024, Microsoft Office comes in several versions: Microsoft 365 (formerly Office 365) is a subscription service that includes automatic updates, Office 2021 is a one-time purchase version, and older versions like Office 2019 still receive security updates but fewer feature additions. Understanding which version you have matters because the update process differs slightly between subscription and purchased versions. Your version information appears when you open any Office application and look at the "Account" or "About" section in the menu.

Practical takeaway: Check your Office version first by opening Word or Excel, clicking "File," then looking for version information. This tells you whether you have Microsoft 365, Office 2021, or an older version, which determines how your updates will function.

Enabling Automatic Updates for Microsoft 365 and Office Versions

Most users of Microsoft 365 have automatic updates enabled by default. This means your computer receives and installs updates without you taking action. However, you can verify this setting and adjust it if needed. Automatic updates work in the background, often installing when your computer is idle or running overnight. This approach keeps your software current with the latest security patches and features without requiring manual effort.

For Microsoft 365 users on Windows, you can check automatic update settings by opening any Office application like Word or Outlook, clicking the "File" menu, then selecting "Account." In the Account window, look for a section labeled "About Word" or "About [Application Name]." Near this area, you'll see "Office Updates" or similar language. If updates are enabled, you'll see text indicating that automatic updates are turned on. If you see an "Update Options" button or link, clicking it shows you more detailed settings.

For Office 2021 or Office 2019 users on Windows, updates work differently. These versions check for updates through Windows Update. To verify this is working, go to Windows Settings, click "Update & Security," then "Check for updates." Your computer will scan for any available Office updates along with Windows patches. You can also choose to receive updates through your work organization if you use Office in a business setting, which may follow different update schedules than personal computers.

Mac users with Microsoft 365 should use the "Check for Updates" feature found in the menu of any Office application. Click the application name (such as "Word"), then select "Check for Updates" from the dropdown menu. This manual check ensures your Mac has the latest versions. Many Mac users find it helpful to check for updates monthly since the automatic update process on Mac works differently than Windows.

Practical takeaway: Verify automatic updates are enabled by opening Word or Excel, going to File > Account, and looking for update status. If you don't see automatic updates enabled, contact your IT department if you use Office through work, or review your Microsoft account settings if you have Microsoft 365.

Manually Checking and Installing Office Updates on Windows

Sometimes you may want to manually check for updates rather than waiting for automatic installation. This is particularly useful if you're aware of a specific security update or new feature you want immediately. On Windows, the most direct method is through Windows Update, which handles both Windows and Office updates for Office 2021 and earlier versions. Open Windows Settings by pressing the Windows key plus I together, then click "Update & Security" on the left side of the window. Click "Check for updates" and Windows will scan your system for any available patches or updates, including those for Office.

For Microsoft 365 users, you can also manually check through the Office application itself. Open any Office program like Excel or PowerPoint. Click "File" in the top left corner, then scroll down to find "Account" and click it. In the Account window, you should see an "Update Options" button near the top right. Click this button and select "Update Now" from the dropdown menu. Office will check Microsoft's servers for any updates available for your version and begin the installation process if updates exist.

During the manual update process, your computer may need to restart. Office will typically notify you and allow you to choose when to restart, often offering options to restart immediately or at a scheduled time. If you're working on important documents, save them before checking for updates. Most updates complete in just a few minutes, but larger feature updates may take 10-15 minutes. During installation, you may notice Office applications close temporarily, which is normal behavior.

If you encounter an error during the manual update process, note the error code displayed on your screen. Common error codes like 0x80070005 or 0x8004FC12 have specific meanings that can help troubleshoot problems. You can search Microsoft's support website using these error codes to find explanations and solutions. Sometimes running Windows Update multiple times is necessary if several updates are available, as they may install in stages.

Practical takeaway: To manually update on Windows, press Windows key + I to open Settings, click "Update & Security," then click "Check for updates." For Microsoft 365, open any Office app, go to File > Account > Update Options > Update Now.

Manually Checking and Installing Office Updates on Mac

Mac users running Microsoft 365 can manually check for updates through the Office applications themselves. The process is straightforward and takes only a minute or two. Open any Microsoft Office application on your Mac, such as Word, Excel, or Outlook. Click the application name in the menu bar at the top of your screen—for example, if you're using Word, click "Word." From the dropdown menu that appears, select "Check for Updates." Your Mac will connect to Microsoft's servers and determine whether any updates are available for your Office version.

If updates are found, a dialog box will appear showing what updates are ready to install. Read the information provided, which typically includes the version number and a brief description of what changes the update brings. Click the button labeled "Update" or "Install" to proceed. During installation, you may be asked to enter your Mac password to authorize the process—this is a security feature to prevent unauthorized changes to your computer. Type your password and press Enter or click the appropriate confirmation button.

During the installation process, Office applications may close temporarily. This is normal and expected. The Mac will handle closing and reopening them automatically. Updates typically take between 2-10 minutes depending on the size of the update and your internet connection speed. After installation completes, you'll usually see a confirmation message. Your Mac may ask if you want to restart the computer, which is sometimes necessary for the update to take full effect.

For Mac users with Office 2019, updates work somewhat differently. Mac automatically checks for Office updates through the Mac App Store if Office was purchased through that platform. You can manually check by opening the Mac App Store application, clicking the "Updates" tab at the top, and looking for Microsoft Office applications in the list. If updates are available for Word, Excel, or other Office apps, you'll see an "Update" button next to each one.

Practical takeaway: On Mac, open any Office application, click the app name in the menu bar, select "Check for Updates," and follow the prompts to install any available updates.

Troubleshooting Common Office Update Problems

Occasionally, Office updates may not install smoothly or errors may occur during the process. Understanding common problems and how to address them helps you resolve issues independently. One frequent issue is updates failing to install due to insufficient disk space. Office updates typically require several hundred megabytes of free space on your hard drive. Check how much free space you have: on Windows, right-click the C: drive in File Explorer and select "Properties"; on Mac, click the Apple menu, select "About This Mac," then "Storage." If you have less than 2 gigabytes free, delete unnecessary files or videos to make room for the update.
